Who we're looking for


We're looking for a Team Assistant who thrives on creating order from chaos and who wants to join and support two innovative teams within our investment division as they work to support investment decisions at Schroders.


We want a proactive problem solver who's not afraid to manage up, telling the team heads where they need to be and when. You'll do this by absorbing and understanding the context of the teams' operations and the stakeholders they engage with, both internal and external. You'll know who's-who and what the meeting is for and thus seamlessly know the difference between what is essential, what can be rearranged, and what needs to be cut.


You'll take pride in being at the heart of your teams' administration, pre-empting other team-member's needs so they can focus on their project work. In return the team will treat you as a valued member, respecting your autonomy and authority over your responsibilities.

The team

You'll be supporting two teams and their respective team-heads, these are: -

Data Insights Unit

The Data Insights Unit are a team of data scientists who constantly build tools, perform advanced analysis (Statistics, Machine Learning, Big Data, etc.) and push for technology-driven innovations. Sustainability Team

Our Sustainability Team leads the firm's research into a broad range of Environmental, Social & Governance topics (ESG). Our Sustainability team is led by Jessica Ground, and you can learn more about her team's mission by reading her article here:

Both these teams sit within our Investment Division, and provide R&D support to the firm's frontline investment analysts and portfolio managers.


What you'll do


You will own the calendars of the 2 co-heads of the DIU (Mark and Ben) and Head of Sustainability (Jessica). You will have general responsibility over administrative support for their broader teams, with a particular focus on more senior team members. Within that broad remit, specific activities may include:


Organisation of day to day meetings including communication, required travel, room bookings and catering requirements

• Preparation of meeting materials
• Event organisation including internal lunches, outside speakers, and community outreach events.
• Full diary ownership for the two co-heads of the DIU and the Head of Sustainability.
• Room booking and diary support for other managers in the teams, particularly when coordinating their meetings with senior stakeholders from other teams or external clients.
• Coordination of recurring team meetings
• Working within the Schroders travel policy to effectively manage travel costs
• Preparation of detailed travel itinerary, booking of meetings, all required travel arrangements, currency ordering and visas
• Processing of monthly expenses (using the Oracle system) and invoices (using the Basware system) for the teams in accordance with Schroders policies and best practice
• Validating and arranging payment of invoices
• Coordinating induction meetings
• Arranging personal technology and desk requirements
• Requesting appropriate access
• Decommissioning equipment
• Responding to emails and other queries.
• Answering and directing phone calls, taking and passing on messages
• Absence/holiday monitoring and logging
• Coordinating desk moves
• Collating information and assisting with research activities
• Management/filing of paper and electronic records i.e. training records, staffing lists and organisational charts
• Ordering stationery and supplies
• Working with the other secretaries and administrative support across Investment to share best practice and cover annual leave or particularly busy periods.
• Prior experience in a secretary/administrative role, including diary management for senior leaders.
• Strong organisational & administrative skills.
• Time management skills and the ability to proactively mange own workload.
• Strong interpersonal & communication skills, including face-to-face, telephone and written.
• Complete adherence to confidentiality at all times.
• Advanced skill with Microsoft Outlook; or equivalent skill in a similar email/calendar application and the ability to pick up new software quickly.
• Intermediate Microsoft Word, Excel, PowerPoint.

Previous knowledge or experience working with teams in any of the following areas would be a plus:
• Investment Management / Financial Services
• Data Science / Software Development / Statistical analysis
• Sustainability / ESG
