The base

You’ll be based in our Hong Kong office that’s located at Two Pacific Place.

 

Job Summary

Work under the direction of the China Service Managers and Client Directors;

Work as part of a team in providing efficient and effective client servicing and reporting support to Client Directors and China Institutional Business.                      

 

Key Responsibilities

Provide client servicing and reporting support to an assigned group of client accounts;

Resolve routine administrative matters directly;

Prepare materials for client meetings/due diligence questionnaires (DDQs)/requests for proposals (RFPs)  for review by Client Directors/ Client Service Managers and coordinate bilingual (English/Chinese) translation, printing and distribution;

Lead client take-on processes, such as KYC, legal document negotiation, account opening, daily name screening, custodian onboarding, and GICTO (Global Institutional Client Take-on)  etc., under the direction of Client Directors and China Service Managers

Host/Assist client meetings  (including portfolio reviews) and marketing events under the direction of Client Directors and China Service Managers, and take quality meeting notes.

Keep clean and timely activity records (e.g. meeting notes, contacts, agreements, in/outflows) in Salesforce.

Field and coordinate responses to administration queries from clients;

Be responsible for managing the distribution process for all client reporting (e.g. valuation and performance reports, management and performance fee invoices, factsheets and quarterly investment reports) and ensuring all deadlines are properly met;

Work with various departments such as Investment support, Performance, Marketing and Operations, to ensure that proper client records are set up in all systems and any changes to client details are made on a timely and accurate basis in line with internal procedures;

Source data for and prepare client reports/templates for review by Client Directors/ Client Service Managers;

Prepare or ordinate ad hoc and non-standard reporting as required by clients from time to time;

Ensure proper filing of all client records (in line with internal and external requirements), meeting notes and update client relationship management system on behalf of Client Directors;

Distribute standard investment and economic outlook information for designated clients;

Prepare tailored investment and market commentary for key clients for review by Client Directors/ Client Service Managers;

Communicate regularly with the Client Directors/ Client Service Managers and ensure they are fully apprised of any developments or issues related to their clients;

Participate in internal projects as and when required. 

 

Profile

Self-motivated individual with good communication and interpersonal skills.

Superior attention to detail.

Hardworking, good at multi-tasking, and can work and deliver under pressure and tight deadlines.

Reliable team player with a growth mindset, hungry to learn and willing to cultivate opportunities with challenges.

Fluency in written and oral English and Mandarin is required.

At least 2 years of relevant experience in the finance industry, previous working experience within the asset management industry is preferred.
